Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or at the time of vehicle collection. This document outlines the specific terms, conditions, insurance information, applicable charges, and your responsibilities for the rental. In case of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Renting a vehicle with us requires:
- To hire a vehicle, you must be at least 21 years old, although age restrictions can vary based on the vehicle type. Drivers under 25 may incur additional fees. A valid full driving licence for the appropriate vehicle category is required, along with proof of identity and current address. Valid payment details and a security deposit must be provided, as well as any other conditions outlined in the Rental Agreement.
Booking and Payment Options
- Bookings can be completed via our website, over the phone, or at our East Midlands office. A deposit may be necessary to confirm your reservation. The remaining balance and security deposit are generally due upon vehicle pickup. All prices are listed in British Pounds (£) and include VAT as applicable. We accept major credit and debit cards, with secure processing through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of vehicle collection, it is important to conduct a thorough inspection and report any pre-existing damage without delay. A vehicle condition report will be completed and signed to document this. Upon returning the vehicle, it should be in the same condition as when it was collected, aside from normal wear and tear. Any new damage identified will be evaluated and may incur additional charges. The vehicle should also be returned with the same fuel level as when it was picked up; refueling fees will be applied if it is returned with less fuel. Late returns may attract extra charges, so please inform us as soon as possible if you expect to return the vehicle later than agreed. You will be liable for any parking fines, traffic violations, or other charges that occur during your rental, along with an administration fee.
Insurance and Liability Coverage
- Basic third-party insurance is included with all vehicle rentals in the East Midlands. Full details regarding coverage and excess amounts are outlined in the Rental Agreement. Additional insurance options may be available, which can help limit your financial liability. It is advisable to review these options thoroughly. You will be liable for any damage or loss up to the insurance excess amount unless you have opted for additional coverage. Any damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of insurance.
6. Modifications and Cancellations
Cancellation and amendment policies differ based on the type of booking and the notice given. For precise information, consult your booking confirmation or Rental Agreement. Please be aware that late cancellations or failure to show up may incur additional fees.
Prohibited Activities
Prohibited Vehicle Uses
- Use of the vehicle for any illegal activities is strictly prohibited. This includes racing, rallying, off-roading, or any activities that pose a risk. Transporting hazardous materials is not allowed. Sub-letting the vehicle or permitting unauthorized drivers is forbidden. Driving under the influence of alcohol or drugs is unacceptable. The vehicle must only be used for its intended purposes, and passenger or weight limits should not be exceeded. Travel outside of the agreed geographical limits requires prior approval.
Breach of these terms may lead to rental cancellation and extra fees.
8. Liability Limitations
To the fullest extent allowed by law in England and Wales, Car Hire cannot be held responsible for indirect, incidental, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our total liability for any claim is limited to the amount you paid for the rental in the last 12 months. This limitation does not apply to claims related to death or personal injury caused by negligence or to cases of fraud.
9. Applicable Law
These Terms are governed by the laws of England and Wales. Any disputes will be resolved exclusively in English and Welsh courts.
Updates to Terms
We reserve the right to update these Terms at any time. Changes take effect immediately once posted on our website. Continued use of our services indicates your acceptance of the revised Terms.
